President

Duties:

  • The president is accountable to the Board of Trustees as specified by the By-laws, Article V (4) President and Article VI (3)
  • Assures that HTWF Board functions according to these by-laws set forth by the organization
  • Operates according to the Vision and Mission statement of HTWF
  • The president is one of the primary two signing authorities within the Healing Touch Worldwide Foundation. The other designated HTWF Trustees is the Treasurer; either members may sign
  • A third trustee may be designated as necessary

Responsibilities:

  • Generates inspiration to achieve the goals and objectives set by the HTWF Board by delegating, motivating and guiding
  • Communicates as needed to any external parties
  • Demonstrates leadership and strong communication skills
  • Presides over the meetings, or assigns a designated person to do so if unable to attend
  • Works with the secretary to coordinate and communicate within the Board such as setting agendas and sending e-mails
  • Ensures the agenda is planned for all Board meetings
  • Determines the frequency, date and time for which meetings are to be held
  • Is actively involved at all levels of the planning process for the face-to-face annual Board meeting
  • Actively participates in determining where the Annual General Meeting is to be held and is involved in all stages of the planning process
  • Acts as mentor; empowering others
  • Leads the HTWF Board of Trustees by example
  • Oversees that all Board positions are operating according to the responsibilities assigned to each position

Vice-President

Duties:

  • The Vice-President is accountable to the Board ofTrustees as specified by the By-laws, Article V – Vice-president
  • Supports the President to assure that HTWF Board functions according to these by-laws set forth by the organization
  • Operates according to the Vision and Mission Statement of HTWF

Responsibilities:

  • Supports the President in generating inspiration to achieve the goals and objectives set by the HTWF Board
  • Supports and acts as a visionary to the functioning of this association

Secretary

Duties:

  • The Secretary is accountable to the Board of Directors as specified by the By-laws, Article V – Secretary
  • Supports the President to assure that HTWF Board functions according to these by-laws set forth by the organization
  • Operates according to the Vision and Mission statement of HTWF

Responsibilities:

  • Attend all board meetings, and take minutes. If unable to attend a particular meeting, listen to the recording of the call/or request another Board Member to take minutes
  • Provide a draft of meeting minutes to the President, make any corrections suggested
  • Distribute revised draft to Board of Trustees prior to next scheduled meeting
  • Read minutes at the next Board meeting for Board approval
  • Distributes approved minutes to all HTWF Board Members
  • Forward an accurate email record of minutes at all HTWF Board and Executive meetings to HTWF office for official storage

Treasurer

Duties:

  • Manages all funds, keeping appropriate records and ensures accurate balancing of accounting records.
  • Arranges for the transfer of “banking signing authority” whenever necessary.
  • Writes all checks. The two signing powers are the Treasurer and the President of the Healing Touch Worldwide Foundation. Only one signature is required.
  • Pays all accounts payable.
  • Receives and reconciles monthly bank statements, keeping these records in safe storage.
  • Oversees deposits of monies received from all sources.
  • Keeps a record of all transactions.
  • Arranges for a yearly audit of the Association’s books. The auditor will compile a “Non-Audit” statement of the financial position of HTWF and file the corporate Income Tax return.
  • Provides monthly financial statement reports for HTWF monthly conference meetings.

Responsibilities:

  • Submits Corporate Tax Return annually.
  • Provides a consent form to Internal Revenue Agency which is required only if auditor is to deal with any questions regarding corporate tax return.
  • Approves copy of audited financial statements on behalf of the HTWF Board.
  • Submits Summary of Officers to IRS annually.

Fundraising Chairman

Duties:

  • Set annual goals/plans for fundraising to increase funds flowing into the Foundation
  • Work with Marketing to strategize fundraising activities/events to present to the Board of Trustees for approval
  • Provides support to all fundraising sub-committees

Responsibilities:

  • Oversee plans, and execute approved fundraising events
  • Act as moderator for fundraising monthly committee meetings and issues meeting minutes. Copies all board members meeting minutes
  • Track/analyze the efficacy of each event
  • Responsible for tracking, scorekeeping and communicating, in relation to fundraising for:
    1. Regional conferences
    2. HTP’s worldwide conference
    3. Heel to Heal races
    4. On-Line raffles
  • Fundraising news:
    1. Supplying marketing committee with fundraising news by the 2nd Monday of the month for the HTP community newsletter
    2. Supply marketing/website committee with results of fundraising events/up-coming events for website updating and social media posting

    1. Create a Constant Contact email blast to announce

Duties:

  • Obtain a representative for each regional
  • Liaison between HTP and other organizations
  • Coordinate with the representative for each regional

Responsibilities:

  • Coordinator responsibilities:
    1. Complete vendor table application/payment for each regional conference.
    2. Request donations from each regional vendors and our healing community
    3. Develop Constant Contact email blasts to promote HTWF presence for each regional and request donations for the silent auction and raffle
    4. Request the HTWF boxes with forms, donations and supplies to be shipped to the conference facility
    5. Provide instructions to the coordinator on where to return the boxes
    6. Train or review with the regional representative on all donation, silent auction and reporting summary forms
  • Regional representative responsibilities:
    1. Organize the silent auction and raffle table(s)
    2. Receive donations and decide if items are to be in silent auction, raffle or held for the worldwide conference
    3. Recruit volunteers for selling raffle tickets and assisting at our vendor table
    4. Train volunteers on all donation, silent auction forms
    5. Complete the regional summary forms
    6. Pack and ship the HTWF boxes to the HTWF office or next Regional

Fundraising - Worldwide Conference

Duties:

  • This person is responsible for organizing the vendor area, silent auction, raffle and coordinating volunteers
  • Liaison between the HTP and HTWF

Responsibilities:

  • This person is responsible for:
    1. Completing vendor table application/payment for this conference
    2. Develop a theme based on the city/state
    3. Coordinate requests for donations from the vendors and our healing community
    4. Recruit volunteers for selling raffle tickets, auctioneer
    5. Coordinates all aspects for the raffle, silent auction, live auction and Medium Readers
    6. Develops schedule for Constant Contact email blasts to promote HTWF’s presence for each regional and requesting donations for the auctions and raffle
    7. Coordinate the shipping of the HTWF boxes with forms, donations, supplies
    8. Assist the treasurer training volunteers with on all forms for silent auction

Duties:

  1. Annual Cincinnati 5K race

  3. Regional 1 mile races
    1. Follow the detailed race director procedure
    2. Recruit and oversee a planning committee to ensure a successful race
    3. Coordinating/contract a race location/Timing Company
    4. Solicit sponsors
    5. Work with marketing for advertising, recruiting
    6. Recruit photographer and race day volunteers
    7. Track and coordinate all funds
    8. Report results

Duties:

  • Update grant application/review forms and necessary.
  • Create short and long term strategies in grant awarding that further the Foundation’s purpose for the Board of Trustees for approval.

  • Review progress log of quarterly reports
  • Review all submitted grant applications
  • Maintain contact with committee members
  • Select, with board approval, committee members and readers
  • Send grant applications to grant readers, collect and summarize reviews
  • Submit recommendations based on review to the HTWF board for approval

Grant Management

Duties:

  • Maintain log of grant applications, awarded and completed in the HTWF office and file hard copy as grant in review.

  • Send all grant applications and materials to each: Grant Chair, Grant committee members, HTWF President and Grant Readers.
  • Submit letter of approval or denial to grantee, file in hard copy form.

Responsibilities:

  • Log each grant application into Grant Update Timeline into computer database
  • Submit grant update form with each grant application approval
  • Follow up on grant update with each grantee quarterly
  • Forward any grant update materials to Grant Chair and Grant committees
  • Close out grant folder at conclusion of grant, to be archived at year end

  • Provide continuity of information of HTWF activities and opportunities
  • Develop and maintain relationships with complimentary organizations
  • Work with fundraising committee to develop, market and publicize HTWF sponsored events
  • Responsible for HTWF communications for; newsletters, social media, annual reports, and website updates

Duties:

Responsibilities:

  • Coordinate media needs with designated committee representative and social media contact designee for advertising specific events
  • Communication with HTWF Office Administrator to update and maintain social media contacts
  • Communicate with HTWF contacts through use of designated social media outlets

    • Healing Touch Program Community Newsletters
    • Energy Magazine publications
    • Healing Touch Program Association Newsletters

Marketing and Publicity: Organizational Liaison

Duties:

  • Work closely with Marketing and Publicity Chairman to develop and expand relationships with complimentary organizations for the promotion of HTWF’s vision and mission.

Responsibilities:

  • Communication through e-mails, letters, or telephone with each organization on a regular basis. Communication is to be a shared exchange between organizations in a timely manner, consisting of: information on events, legislation, articles, research and conferences
  • Reports at the monthly conference call meetings
  • Provide supportive role to designated representatives who attend conferences as a liaison of HTWF

Marketing and Publicity: Public Relations

Duties:

  • To build mutually beneficial relationships between HTWF and the Healing Touch community, complimentary organizations and the public through strategic communication processes.

Responsibilities:

  • Provide communication which is strategic in nature and emphasizes mutually beneficial relationships
  • Monitor public opinion, attitudes and issues which impact the operations of HTWF
  • Collaborate with HTWF Board members with regard to policy decisions, and public relations
  • Research, conduct and evaluate programs of action and communication to achieve the public’s informed understanding of HTWF’s aim (vision and mission).  These may include marketing, fundraising, grants, service and education.
  • Seek philanthropist opportunities to advance HTWF’s vision and mission through: fundraising, research, service and international education initiatives
